Cadence Process

Purpose: This document is intended to provide an overview of how recruiters use the PRM to start cadences for patients, review cadence executions, and manage cadence-related follow-up work.

Process

Cadences are workflow-based outreach sequences used in the PRM. Recruiters may start cadences from the Inbox or Patients workflows, and lead recruiters may also create or manage cadence definitions when that functionality is enabled.

Starting a Cadence for One Patient

  1. Open the patient from the Patients page or from the Inbox.

  2. Select Add Cadence.

  3. Search for and select the cadence.

  4. Review any required studies, source requirements, contact warnings, or required dynamic variables before starting.

  5. Start the cadence execution.

Cadence Start Checks

Study Assignment Source

  • If the cadence will create study assignments for missing studies, a study assignment source is required.

  • Enter a clear source such as PRM Cadence, Facebook Ad, or another approved source value.

Phone and Email Requirements

  • If the cadence includes calls or SMS, the patient must have a valid phone number.

  • If the cadence includes email, the patient should have an email address unless the workflow allows the recruiter to proceed without email.

  • If a patient has revoked consent for calls or email, do not start cadences that require those communication types.

Dynamic Variables

  • Some cadences require additional values before they can start.

  • Complete all required dynamic variable fields before execution.

Bulk Cadence Enrollment

  1. Open the Patients page.

  2. Select the patients to be enrolled.

  3. Choose Bulk Actions and select Enroll in Cadence.

  4. Select the cadence.

  5. Enter study assignment source and dynamic variables if required.

  6. Start the enrollment and review the results when processing is complete.

Cadence Executions Page

Use the Cadence Executions page to review active and historical cadence activity.

Cadence Execution Review

  • Use the execution list to monitor which patients are enrolled, in progress, paused, completed, failed, or canceled.

  • Open patient context when a specific patient’s cadence activity needs to be reviewed in more detail.

  • Confirm current execution state before starting a replacement cadence.

Canceling Cadences

  • Active cadence executions can be canceled from the Inbox for an individual patient.

  • Multiple active executions can be canceled from the Cadence Executions page by selecting the executions and using Cancel Selected.

  • Confirm that the patient should stop the workflow before canceling.

Cadence Definitions

  • If enabled and your role allows it, use the Cadence Definitions tab to review or create cadence definitions.

  • Lead recruiters may create new cadence definitions when operationally approved.

  • Only use cadences with configured workflows for live patient outreach.

Best Practices

  • Review patient contact information, consent, and study context before starting a cadence.

  • Use clear study assignment sources whenever the cadence creates study assignments.

  • Monitor active executions regularly so failed, paused, or no-longer-needed cadences are addressed promptly.

  • Cancel outdated cadence executions before starting a new cadence that would create conflicting outreach.
