Why is the AI not reaching out to patients in my existing database?
Last updated: October 19, 2026
Context
The Delfa AI outreach system acts on leads from connected sources, such as marketing forms or integrations. If you have patients in your existing database who are in statuses like Non-Contact, Contact Attempt 1, 2, or 3, or Follow-Up Required, you may notice that the AI is not automatically reaching out to them. This is because those patients have not yet been imported into Delfa.
Answer
The AI will only reach out to patients who have been imported or integrated into the Delfa platform. Patients from your existing database or offline sources are not automatically available for AI outreach unless they are brought into Delfa.
You can import your existing patient list yourself:
Export the relevant patients from your database as a .csv, .xlsx or .xls file.
In Delfa, go to Patients and click Import Patients.
Open the Bulk Patient Data Import tab and upload your file.
Map your columns to Delfa fields, check the preview, and click Import [number] Patients.
In Bulk Actions (Optional), choose Site Assignments and Assign to Study-Site Pairs, then click Execute.
In Start Cadences, schedule the cadence for the study so the AI begins outreach.
If you prefer, your Delfa representative can help with the import.
Important: The import is a one-time process. For any new incoming leads (e.g., from website traffic or ad campaigns), set up a lead source so those leads are fed into Delfa automatically. Please reach out to your Delfa representative to discuss integration options for new traffic sources.
